🔒 Permissions: All users can use the workspace agent to query the Minis they have access to. You'll only see results from Minis in your assigned groups. Learn more about roles and access →
The workspace agent lets you ask a question once and get answers from across multiple Minis, without switching between them. It's designed for team leaders, coordinators, and anyone who needs information that spans more than one person in care. New to it? Start with what is the workspace agent.
When to use the workspace agent
You need to compare or combine information across multiple residents or participants.
You're preparing for a team meeting, review, or report that covers several people.
You want to spot trends or patterns across your caseload.
You have an operational question that doesn't belong to a single Mini, or you're not sure which Mini holds the answer.
How it works
Select the workspace agent from the sidebar. It appears alongside your Minis.
Type your question as you normally would, no need to name each person.
The workspace agent shows you which Minis it plans to query and asks for your confirmation before proceeding.
Once confirmed, it searches the relevant Minis and combines the results into a single, unified response with citations.
Questions that work well:
"Which residents had falls recorded in the past 7 days?"
"Who has an appointment coming up this week?"
"Summarise how everyone on my caseload settled overnight."
Confirmation before querying
Before the workspace agent accesses any Mini, it tells you exactly which Minis it intends to query. You can approve, adjust, or cancel, so you stay in control of what information is accessed at all times. If a Mini you expected is missing, it may be one outside your assigned groups, so check with your Workspace Administrator.
Citations and reasoning
Every response from the workspace agent includes:
Citations, clear links back to the source records across each Mini, so you can verify the information.
Chain-of-thought reasoning, visible reasoning steps that show how the answer was formed, so you can follow the logic.
This works the same way as citations in individual Mini chats. Learn more about citations →
Tips for effective queries
Be specific about timeframes. "In the past 7 days" works better than "recently."
Name the record types. "Progress notes mentioning falls" is more focused than "anything about falls."
Start narrow. If you get too many results, refine your question. If you get too few, broaden it.
Follow up in the same chat. You can narrow or expand the answer conversationally, for example "Just the ones at Sunshine House."
For more guidance on writing effective prompts, see Good practices for asking a Mini questions.
⚠️ Always review the output: The workspace agent draws on multiple sources, so take a moment to check that names, dates, and details are accurate before using the information in care decisions or documentation. Follow the citations back to the source records for anything you're relying on.
ℹ️ Good to know: The workspace agent follows the same permission rules as individual Minis. You'll only see information from Minis you already have access to, and it does not bypass group-based access controls. To ask about a single person instead, open their Mini directly.
