Checking what a Mini read from an attachment

How Minikai reads the files attached to records, including handwriting, and how to check the text a Mini read against the original.

🔒 Permissions: Anyone who can see a record can open its files and the text a Mini read from them. No extra permissions needed. Learn more about roles →

When a file is attached to a record, Minikai reads it so a Mini can find and use what's in it. That includes handwriting, forms signed on a tablet, scanned pages, and the charts and images inside an attachment. You can open the text a Mini read beside the original file, so you can always check an answer against the source.

ℹ️ We're switching this on for workspaces over the coming weeks. If you don't see the steps below yet, it isn't on for your workspace yet.

When to use this

  • A Mini quoted something from an attachment and you want to check it. Open the file from the citation and compare the text the Mini read with the original page.

  • A form was filled in by hand or signed on a tablet. These used to come through blank. A Mini can now read the handwriting and the ticked boxes, and you can check how it read them.

  • A file is marked with a red icon. The Mini couldn't read it, so it won't use that file in its answers. The steps below explain why and what to do.

How it works

Shortly after a file is attached to a record, Minikai reads every page and turns it into text the Mini can search, keeping headings, tables and ticked boxes. Images, charts and signatures are described in words, so a Mini knows they're there and what they show. This text is what loads into Memory, the search a Mini uses to answer your questions. Where the text came from handwriting, it's marked as handwritten. When a Mini uses handwritten text in an answer, it reminds you to check important details against the original.

Step 1: Open the file from its record

You can open a file from anywhere you see its record.

  • From a Mini's answer, select a citation to expand the record it came from. Learn more about citations →

  • From the timeline, open the record from the person's timeline.

  • Then, under the record's attachments, select the file to view it.

Step 2: Compare the text with the original

The file opens with two sides:

  • Extracted text (what the Mini can read) on the left, which is exactly what the Mini searches and quotes from.

  • Original on the right, which is the file as it was uploaded. Select Open in new tab to see it full size.

On a phone, switch between the text and the original using the tabs at the top.

⚠️ Check before you act: Text read from an attachment can get a dose, a date, a name or a ticked box wrong and still read naturally. Before you act on an important detail, especially anything about medication, open the original and check it.

Step 3: If a file isn't ready or can't be read

  • Still being read: a file is usually read within a minute. Until then the viewer shows The Mini is still reading your attachment, and the Mini can't use the file yet. If it's taking longer than usual, select Check again.

  • Can't be read: the file shows a red icon and Your Mini can't read this file, and the viewer says why, such as the file being too large. The Mini won't use it, so upload a clearer or smaller copy if you can.

  • Misread, or still not read after half an hour: let us know through the Help Desk with the person's name, the record and the file.

Tips for better results

  • Upload clear scans. Make sure pages are the right way up and every page is included.

  • Ask for the whole attachment. If you need every detail from a long attachment, ask the Mini to go through it from start to finish.

  • Ask where an answer came from. The Mini cites the record, and you can open the file from there.

Good to know

  • Only people who can see a record can see the text read from its files.

  • Files are read within your workspace's data region.

  • When this is switched on for your workspace, files already in your workspace are read again, so older attachments benefit too.

  • Reading new files uses credits, shown as Data ingestion on the Budget page.
