Minikai finds information for you in two different ways: basic search and filters, which you use directly, and Memory, the more advanced search a Mini uses on your behalf. This article explains the difference.
Basic search and filters
When you're looking through a person's timeline yourself, you can search by keyword and filter by label, date, or status. This works across everything that's ever been added for that person, records, notes, attachments, all of it, and it's always available. There's no allowance or cost attached to it.
Use this when you know roughly what you're looking for, a specific incident, a date range, a particular type of note, and want to find it yourself.
Memory: how a Mini finds the right answer
When you ask a Mini a question in chat, it doesn't search by exact keyword, it uses Memory to understand what you're asking and find the records that actually answer it, even if you phrase things differently to how they were written. This is what lets a Mini pull together the right progress notes, assessments, and incidents to answer a question and cite exactly where the answer came from.
Memory is what the Memory usage meter on your Budget page measures, it's the room your workspace has for records to be available for a Mini to search and reference. See Managing extra memory for how that allowance works.
Which one am I using?
Searching or filtering the timeline yourself uses basic search. Always available, not metered.
Asking a Mini a question in chat uses Memory. This is what's metered on your plan.
ℹ️ Good to know: Adding data to Minikai is never affected by Memory. You can always create records and attach files, regardless of how much Memory your workspace is using.
Coming soon
Right now, everything eligible loads into Memory automatically. We're building the ability for you to choose what loads into Memory, and once your workspace is out of included Memory, new data will pause loading into Memory until you free up room or add budget. This won't affect your ability to add records or files, only whether a Mini can search and cite them.
