When access comes through Directory Sync or Single Sign-On, Minikai doesn't send a welcome email or any notification to the people you've provisioned. This guide gives you a straightforward message you can adapt, so your team knows they can sign in before they go looking for it.
When to use this
You're switching on Directory Sync or SSO for the first time and want your team ready to sign in on day one.
You've just added a new starter to the mapped group in your directory and want to let them know they're set up.
You'd rather adapt a message than write one from scratch.
How it works
There are two moments worth communicating: the initial rollout, a once-off message to everyone affected, and ongoing new starters, folded into whatever onboarding process you already run. Neither happens automatically, so both rely on you, or whoever manages onboarding, actually sending them.
Step 1: Decide what to say and when
Timing matters more than wording here.
For an initial rollout, send your message once Directory Sync and SSO are both live and you've confirmed test sign-in works. See Setting up SSO and Directory Sync. Don't send it earlier, anyone trying to sign in before they're provisioned will just be turned away.
For a new starter, fold the message into your existing onboarding checklist, right after they're added to the mapped group in your directory and their account has had a few minutes to be provisioned.
Step 2: Use this message as a starting point
Adapt the wording to your organisation, but keep the two essentials: where to sign in, and that they should use their existing work login.

Subject: You now have access to Minikai
Hi [name],
You can now sign in to Minikai, our care platform, at minikai.com/app. Use your usual work login, the same one you use for email, there's no separate Minikai password to set up.
If you run into any trouble signing in, let me know or reach out to [Workspace Admin / IT contact].

Step 3: Point people to what happens next
If your team is new to Minikai, link them to Signing in and accessing Minikai and Asking your first question, so they know what to expect once they're in.
⚠️ Send it only once they're provisioned: Confirm the person is actually in the mapped group before you tell them to sign in. Otherwise you're sending people to a door that isn't open yet.
Tips
Bake it into onboarding. Keep a standing version of this message in your induction checklist, so every new starter gets it, not just the first rollout.
Name a contact. Give people someone to ask if sign-in doesn't work, it's usually faster than raising it with us directly.
