Insights

What the Insights page is for, the metrics it shows, and how to use it to understand who's using Minikai in your workspace.

Insights is where you can see who in your workspace is using Minikai and how. It's a current-period leaderboard showing records created and messages sent per user, with the option to filter by job title.

Insights is about engagement, not cost. You won't see dollars or credits here. For spend and limits, see Budget. For invoices and payment details, see Billing.

When to use this

  • You're rolling Minikai out to a new team and want to see who's getting started.

  • You want to identify your champions, the people leaning in early, so you can learn from them and amplify what's working.

  • You're checking whether a particular role is using the platform as expected.

  • You're preparing for a team conversation or training session and want a sense of current uptake.

How it works

Insights pulls directly from your workspace activity. It shows two metrics per user for the current billing period:

  • Records created. The number of records each user has created on a Mini's timeline.

  • Messages sent. The number of messages each user has sent to a Mini or a workforce agent.

Both are direct counts, not estimates. Messages sent counts each user prompt as one, not the internal steps Minis take in the background to respond.

You can also see each user's job title (when it's set on their profile) and filter the leaderboard by job title to narrow the view. Totals are shown at the bottom.

Step 1: Open Insights

Go to Workspace Admin β†’ Insights. You'll see the leaderboard for the current billing period with all users included by default.

Step 2: Filter by job title (optional)

Use the job title filter to narrow the leaderboard. This is useful when you want to see usage by a specific role, for example just Care Managers or just RNs.

If a user doesn't have a job title set, they'll show in the unfiltered view but won't appear when you've selected a specific job title. Job titles are set on the user's profile and, where directory sync is configured, can be imported automatically.

Step 3: Read the totals

Totals at the bottom of the leaderboard show the combined records created and messages sent for everyone in the filtered view. This is a quick way to compare activity across roles or to track week-on-week change.

Using Insights well

  • Look for the quiet users. A user with zero records or messages may need a check-in, a refresher, or a different kind of support.

  • Celebrate the leaders. A user creating a lot of records or sending a lot of messages is often a great person to ask for feedback or to involve in training.

  • Don't use Insights as a performance tool. Activity isn't quality. Use it to spot patterns and start conversations, not to rank people.

ℹ️ Good to know: Insights shows the current billing period only. Historical and multi-period views are on our roadmap. If you'd like to see something specific, message us through the Help Desk.

What's not in Insights (yet)

A few things we know admins ask about that aren't in V1:

  • Tasks completed per user

  • Historical or multi-period views to compare across billing periods

  • Per-user detail pages with a breakdown of activity over time

If any of these would help you, let us know. Feedback shapes what we build next.
