How to notify a family member after logging a record

After you've logged a record, ask the Mini to draft a notification email to a family contact. You review and send it from your own email, so nothing goes out without you.

When something happens and you've logged it, a family contact often wants to know. Rather than writing the message from scratch, you can ask a Mini to draft the email for you, using what it already knows about the person. The Mini drafts it, then you review and send it from your own email, so nothing goes out without you.

When to use this

  • You've just logged an incident or a change in behaviour and the person's family contact should be told.

  • You want a warm, accurate update without writing it from a blank page.

  • You want the family message to line up with what you've just recorded.

How it works

Once you've logged a record, ask the Mini to draft an email about it. The Mini produces an Email Draft card in the chat, drawing on the person's records to write a relevant, personalised message. You review it, adjust anything you want, and send it from your own email client. The email goes from your regular work email, not from Minikai, and appears in your sent folder like any other. The example below continues from logging Ned's behaviour record at Sunshine House.

Step 1: Ask the Mini to draft the email

In the same chat where you logged the record, ask the Mini to write the message. For example:

  • "Draft an email to Ned's family letting them know I've logged this."

The Mini uses what it knows about Ned and the record you just created to write a suitable draft.


Step 2: Review the Email Draft

The Mini presents an Email Draft card with the recipient, subject, and body filled in. Read it through and adjust anything that doesn't sound right. You can edit the fields directly, or ask the Mini to revise it conversationally, for example "Keep it brief and reassuring" or "Mention that he settled well."

Step 3: Send from your own email

When you're happy with the draft, click Open in email app to open it in your own email client with the fields pre-filled, or use the copy icon to paste it elsewhere. You send the final email, so it goes from your work address and lands in your sent folder like any other message.

⚠️ Always review before sending: Family communications are sensitive. The Mini writes a helpful draft, but you know the person and the family best, so check the details, tone, and that nothing should be left out before you send. Nothing is sent automatically.

Tips for a better email

  • Log the record first. The Mini writes a fuller, more accurate email when the event is already captured on the timeline.

  • Say who it's for and the tone. A quick steer like "warm and brief for family" helps the Mini pitch it right.

  • Check the recipient. Confirm the To address before you send, especially for family contacts.
