Note: Only Admins can invite, manage roles, or remove users.
When to use this
Invite a new user when a team member needs access to your workspace β for example, when onboarding new staff
Change a user's role when their responsibilities change and they need different permissions
How to invite a user
Click your workspace name at the top-left of the sidebar to open the dropdown menu.
Select Workspace Admin
In the left sidebar under People, click Users. You'll see a list of all users, their roles, and when they were last active.
Click the Invite user button (top-right).
In the popup, enter the person's email address.
Choose a Role from the dropdown (see User roles and permissions for more details). The default role is Member.
Click Invite.
The invited person will receive an email with a link to complete their account. Before they accept you will see them in your user list as "Invited." Once they accept, they'll appear in your Users list with their assigned role.
Tips:
Double-check the email address before sending β the invite link is tied to that specific address and the user won't be able to log in with a different one.
Not sure which role to choose? Start with Member (the default) and upgrade to Creator or Admin later if needed. It's easier to add permissions than to remove them.
A Member user will not have access to Minis until they are added to a group. Groups control which Members have access to which Minis (for example by location)(see How to create a new group).
Managing existing users
To view or change a user's role, or to remove a user:
Open the Workspace Admin from the workspace dropdown.
Click Users in the left sidebar.
Find the user in the list β you can search by name or email, or filter by role using the All dropdown.
Click the β― menu next to the user to change their role or remove them.
Tips:
Removing a user revokes their access immediately. Their past activity (records created, etc.) is retained in the workspace.
